Your account
Students: Accounts are created for new students and faculty before
the beginning of each new school year.
Your e-mail address
Your Internet e-mail address is in the form: username@lovett.org (substituting your
assigned username). This is the address people from off-campus should use when
sending e-mail to you. When you use FirstClass to send e-mail to someone else
who has a Lovett FirstClass account, instead of using their Internet address,
you should use their "FirstClass name" which is their first initial
and last name typed together. For
students we use their first initial, middle initial and last name all typed
together.

Using FirstClass off-campus
If you have an Internet service provider, the FirstClass software
can be installed and used on your Windows or Macintosh computer. There is also
a web version of FirstClass which is useful if you are using a computer for
which you don't have permission to install software, such as at a library or
hotel.
Once FirstClass is installed on your computer follow these
steps to log in:
1. Launch the FirstClass software:
Macintosh: There may be a FirstClass alias on your desktop or in
your Apple menu that you can use to start the program. If you don't see an
alias icon, double-click your Macintosh HD and look for a folder called FirstClass
Client.
Double-click the folder to open it, then double-click the FirstClass icon.
Windows: Either double-click the FirstClass shortcut icon on your
Desktop or click the Start Button and choose Programs > FirstClass
> FirstClass.
2. Open the Login window
A Login window will appear on the screen. Verify that the Server field says fcmail.lovett.org.
If you need to correct the Server field, click the Setup button. The Service
Setup window will appear. Delete all text from the Server field. Then type fcmail.lovett.org. Click the Save button to close the
Service Setup window.

3. Enter your Username and Password
In the Login window, type your FirstClass username in the User
ID
field. Press the TAB key or click in the Password field and type your
assigned initial password. As a security feature, the characters of your
password will appear as asterisks (*) as you type them. Click Login.
It is possible, though not recommended, to save your user ID
and/or password by entering them and clicking Save. If you click Save with your password
entered you will notice that the Password field will fill with extra asterisk
characters. This is a feature intended to obscure from an observer the number
of characters in your password.
Important note: For security reasons, we strongly recommend
that you not click the Save button in the Login window after you have typed
your password. This would save it on the computer so that your FirstClass account
would be accessible to anyone using your computer, without knowing your
password. (To reset the fields to blank again, delete the username and password
and click Save.)
After logging in, your FirstClass Desktop window will appear.

The FirstClass Desktop
Your FirstClass Desktop will look something like this.

You can drag the icons on your FirstClass desktop to arrange them
as you like. If you prefer to see them in an alphabetical list, from the View menu choose View
by List.
The FirstClass Desktop is the starting place for the program. It
has several icons that allow you to navigate through your account. We refer to
it as the FirstClass Desktop in order to distinguish it from the Windows
or Macintosh desktop.
The standard Lovett FirstClass Desktop has at least five icons:
Mailbox, Faculty-Staff News, News, Help, and Conferences. You may add other
icons including shortcuts to conferences and an address book. A red flag will
appear near a conference or your mailbox when it contains at least one unread
message (a message that you have not opened or that you have marked as unread).
By double-clicking on one of these icons, you will either open your mailbox or
navigate through the FirstClass conferences on the system.

Changing your password
You should change your assigned password immediately after your
first login. You can change your password again at any time.
1. From the Collaborate menu, choose Change
Password...
2. In the Old password field, type the
password that was assigned to you.
3. TAB to the New
password field.
4. Type a new password.
You can use letters, numbers and/or most symbols. Choose a password that is not
easy to guess. Do not share it with anyone or write it in an obvious place.
5. TAB to the Retype
password field.
6. Type the new password
again.
7. Click OK.

Checking your FirstClass version number
Check to see that you are using the most recent version:

With the FirstClass desktop open, go to the Help menu (Windows) or Apple menu (Macintosh) at
the top of the screen and choose About FirstClass Client. Information about
FirstClass will display. If you have an older version FirstClass will still
work but you should upgrade because of improvements to the software and because
there are differences that do not match these instructions. Upgrade instructions

At the top of each FirstClass window you will see a toolbar of
buttons. If you hover your mouse pointer over any of these, the name of the
button will pop up. Also, a description of the button's function will appear at
the bottom margin of the window.
As you use FirstClass you will notice that different windows have
different toolbars. This is because the common commands for each window differ.
For example on a window where you type a message you will find buttons to set
the font, style, and size of your text. All functions provided by toolbar
buttons may also be found within the menus. Buttons can be added or removed from
any toolbar. To do this read the section called Toolbars
- Customizing in the FirstClass Features page.

Explore view
An alternate way to view your conferences, folders and messages is
Explore view. You can open this view at the Desktop level or within any
conference. From the View menu choose Explore. A new window will
open with three panels. You will see conferences, folders and their aliases on
the left panel. These containers are marked with plus signs that can be clicked
to expose the names of any sub-containers. Click on any item on the left panel
and you will see a list of the contained messages in the top-right panel.
Clicking on a message in the list shows you the contents of the message in the
bottom-right panel.
The Explore view is in its own window, so that if you close the
window the standard set of windows will be unchanged.

Your mailbox
The mailbox on your FirstClass desktop contains your personal
e-mail. These are messages addressed specifically to you, either from someone
using FirstClass or from elsewhere on the Internet. To access a list of the
messages in your Mailbox, either double-click the Mailbox icon on your
FirstClass Desktop or, from the File menu in any FirstClass window, choose Open
> Mailbox.
By default, your e-mail messages appear in a list format with the
most recently received messages at the top of the list. Your mailbox also
contains a copy of each message sent by you. Unread messages are marked with red flags and messages with attached files are
marked with a paperclip .
Messages with the same subject are grouped (threaded) together.
Generally grouped messages are a series of replies on a topic. The hierarchy of
replies is indicated by indented threaded messages having subjects that are
preceded with "Re" followed by a number. Threaded messages are
visible in one of two ways. If the thread is open (all messages are listed
individually) the first one is marked with a minus sign (Windows) or
down-pointing triangle (Macintosh). If the thread is closed (only the top
message in the thread is listed) it is marked with a plus sign (Windows) or a
right-pointing triangle (Macintosh). You can alternate between the two types of
views by clicking on any of the symbols (+/-) or the triangles. Click the
symbol at the top of the column to change the entire list.

Reading e-mail messages
To read a specific message in the list, double-click on that
message to open it in a new window. The gray top section of the open message is
the header; the body of the message appears in the white section below the
header. The header tells you who sent the message, addresses of those to whom
the message was sent and the subject of the message. If there are any
attachments they will be listed in the header. Either the header or the message
text area may have a scroll bar if the window is not large enough to display
the entire section.
To change the magnification of the text in any message, use the
control in the bottom left of the window and change it to something larger or
smaller than 100%.
When you are done reading, close the message window. The closed
message will remain listed in your mailbox and available until you delete or
move it. Messages that remain in your mailbox or in folders within your mailbox
will not expire. You can quickly move from one message to the next in the same
window without closing and opening each one. To do this, click the Next
Unread
, Next in Thread or Previous in
Thread button on the toolbar of any message,
depending on which message you want to read next. After you read a message its
red flag will be gone. You can put the flag back, if you like, so that the
message is marked as unread. To do this, click once on the message in the list
to select it, then from the Message menu choose Mark as Unread.

Saving or opening an attachment
you receive
Note: In version 7.008, FirstClass no longer automatically saves
attachments on your computer when you double-click them in the header of a
message. If you would like to edit an attachment and/or save it on your
computer, you must explicitly save it yourself to a location you choose using
the instructions below. Be sure that you DO NOT save in the fcctemp directory as
everything in fcctemp is deleted when you exit from FirstClass.
* Saving an attached
file to your computer or removable disk without opening it:
If you want to save an attachment to your computer's desktop (not
the FirstClass desktop) or to any folder in a window you can see on your computer,
drag the attachment name from the header of the message to that location.
Another method is to follow this procedure:
1. Open the message with
an attached file.
2. Click once on the
attachment filename in the message header to select it.
3. From the File menu choose Save
Attachment.
4. Navigate to where you
would like to save the file. Be sure that you DO NOT save in the fcctemp directory as
everything in fcctemp is deleted when you exit from FirstClass.
5. Rename the file, if
you like, and click Save.
* Opening an
attachment:
1. Either double-click
the attachment filename in the message header or click the filename once to
select it, then from the File menu choose View File.
2. Certain file types
such as JPEG and TXT open in a FirstClass window. For other file types,
FirstClass attempts to find a program to open the attached file. If this is not
successful, a message will display telling you that the file can not be opened.
(This will happen if, for example, your attachment is a Word file but there is
not a .doc extension on the file name. A Windows computer is not able to tell
that this is a Word file without the extension.) If this happens, you can still
save the attachment to your computer without first opening it using the method
above. Then launch a program that you think will open the file and from the File menu choose Open. Navigate to the
saved file.
3. To save the open attachment on your computer or a
removable disk, from the File menu choose Save As then navigate to the
location on your computer where you would like to save.
4. Be sure that you
DO NOT save in the fcctemp directory as everything in fcctemp is deleted when
you exit from FirstClass. Note that if an attached graphic image opens in a
FirstClass window, you may not be able to save it from that window. To save it
to your computer, follow the steps above for saving an attached file to your
computer or removable disk without opening it.

Changing the sort order of messages in your
Mailbox
The quickest way to change the sort order of your messages is by
clicking the heading of the appropriate column. For example, if you want to
sort the messages by name, click this column heading: . A second click on the
same column heading will reverse the order. To alternate between showing and
hiding messages in threads, click the plus/minus sign (Windows) or the right-
or down-pointing triangle (Macintosh).
Sort order, grouping and the list/icon view can also be changed by
using the View Properties dialog box. (For more information click the Settings
and Customizing button at the top of this page.)
If you change the sorting or grouping and wish to return to the
default:
1. Open your mailbox and
click once in the area where your messages are displayed.
2. From the View menu choose Change
View Properties.
3. Click on the Sorting tab.
4. Click Default, click Apply, then click OK.

Selecting multiple messages for deleting,
moving, printing or saving
You can select multiple messages in the following ways. To select:
* all messages in a
folder or mailbox - Click in the area where your messages are displayed. From
the Edit menu choose Select All.
* adjacent messages in
the list (for example, the first ten messages) - Click the first message, hold
down the SHIFT key, click the last message then release the SHIFT key.
* any number of messages
that may not be adjacent in the list - Hold down the CTRL (Windows) or APPLE
(Macintosh) key and click each message you want to select. When you are done,
release the CONTROL or APPLE key.
* messages with the same
sender or date - Hold down both the SHIFT and CONTROL keys (Windows) or SHIFT
and APPLE keys (Macintosh) and click on the part that you want to match. For
example, if you want to select all the messages from Wendy Wellesley click on
Wendy Wellesley's name on one of the messages in the list.
* all messages in a
thread - Close the thread and click the closed thread.
Note: Be careful when selecting messages - especially those you intend
to delete or move. If the message you selected has threaded messages associated
with it, and if the thread is closed, you will have selected the entire thread.
Open the thread by clicking the plus sign so that it becomes a minus (Windows)
or the right-pointing triangle so that it becomes down-pointing (Macintosh) so
that you can select only the message you want to delete or move.

Deleting messages and folders from your Mailbox
You can either delete individual messages and folders from your
Mailbox or select multiple items to delete together. Remember that selection of
a closed thread includes ALL messages in that thread.
Three ways to delete:
1. Select the item(s) you
want to delete then click on the Delete button on your toolbar. (Dragging the item to the Delete button
won't work; instead it will cause a shortcut to appear on the toolbar.)
2. Select the item(s) you
want to delete then from the File menu, choose Delete
3. Select the item(s) you
want to delete then press the DELETE key on your keyboard.

Undeleting messages and folders
If you delete a item and later want to retrieve it, you can do so
any time before the 2:00 AM nightly purge. To undelete a message:
1. From the View menu choose Show
Deleted Items. Among your messages you will see all of the items you have deleted
since the last nightly purge. Each of these deleted messages and folders will
have a trash can icon next to it.
2. Locate any item in the
mail list that you want to "undelete" and select it.
3. From the File menu choose Undelete. The trash can icon
will disappear from the selected item(s).
4. To hide any remaining
deleted item that you do not want to recover, from the View menu choose Hide
Deleted Items.

If you keep many old messages in your mailbox, you may want to
sort those messages into folders. Use of folders also helps to alleviate e-mail
clutter and allows you to find important messages more easily.
Important Note: If you keep your e-mail messages in your main mailbox or within
folders in your mailbox, they will not expire. Do not keep messages on your FirstClass
desktop or move mail folders to your FirstClass desktop. If you move them
out of your mailbox they will have a default expiration of 30 days.
Creating a folder in your mailbox:
1. Open your Mailbox.
2. From the File menu choose New
> New Folder. A blank folder will appear in your mailbox window.
3. To assign a name to
the folder, click once on New Folder, then from the File menu choose Properties (Windows) or Get
Info
(Macintosh). Type a new folder name in the Name field.
4. While you have the
properties window open, you can also change the icon for your folder. The
properties window has a picture of the current icon that is used for the folder
(probably a plain yellow folder) in the upper left corner. Click once on this
icon. A list of available substitute icons will appear and you can select any
one of them by clicking it.
5. Close the window. You
will be prompted to save the changes. Click Save.
6. To separate folders
from the individual messages in your Mailbox, we recommend that you split your
Mailbox window. From the View menu choose Split > Split Horizontal (or Split Vertical).
Moving messages to a folder in your Mailbox:
You can either move individual messages or select multiple
messages to move together. Remember that selection of a closed thread includes
ALL messages in that thread. You can also move a folder inside another one.
1. Select the message(s)
or folder you want to move.
2. Drag to the
destination folder. If several messages are selected, they will move together.
3. When the destination
folder name is highlighted, release the mouse button.
4. To view the list of
messages contained in a folder, double-click the folder to open it.
Deleting and Undeleting folders in your Mailbox:
Folders can be deleted and undeleted in the same way as individual
messages.

Printing messages
To print any open message or window, from the File menu choose Print.
Printing multiple messages:
1. Select multiple
messages to be printed. Remember that selection of a closed thread includes ALL
messages in that thread.
2. Right-click (Windows)
or hold down your mouse button (Macintosh) on any of the selected messages and
choose Print from the pop-up menu.
To print with additional features such as an optional header or
footer, from the File menu choose Print Layout and click the
Messages tab. Select the elements you want from the pull-down menus.

Saving messages to your hard drive
There are three basic ways, described below, to save your messages
in a format that can be read by a word processor. Note that you will be saving
the message only; attached files must be saved separately using the
instructions above for saving or opening attachments .
Saving messages in Microsoft Word format
The following procedure results in a .doc file containing the
contents of your message(s) including header information. Formatting is
retained and quoted text is labeled with the name of the author.
Single message:
1. Open the message you
want to save.
2. From the Edit menu choose Select
All.
3. From the Edit menu choose Copy.
4. In Word, open a new,
blank page.
5. From the Edit menu choose Paste.
6. From the File menu choose Save
As.
7. In the Save As window, enter a name
for this file then navigate to the location where you would like to save it.
Click Save.
Multiple messages together in one file:
1. Open your Mailbox or a
folder containing messages you want to save. Sort the messages in the reverse
of the order you would like them to appear in the saved file.
2. Select several
messages. Remember that selection of a closed thread includes ALL messages in
that thread.
3. From the Message menu choose Summarize
Selected. A new file will open with the summarized messages. (Because most
people sort their e-mail so that the most recent is at the top of the list, the
Summarize Selected command puts them in the reverse order. This way your file
will be chronological - oldest first.)
4. From the Edit menu choose Select
All.
5. From the Edit menu choose Copy.
6. In Word, open a new,
blank page.
7. From the Edit menu choose Paste.
8. From the File menu choose Save
As.
9. In the Save As window, enter a name
for this file, then navigate to the location where you would like to save it.
Click Save.
Saving messages as plain text
The following procedure results in a .txt file and includes header
information. Fonts, highlighting and other formatting are not retained.
Single message:
1. Open the message you
want to save.
2. From the File menu choose Save
As.
3. In the Save As window, enter a name
for this file with a .txt extension, then navigate to the location where you
would like to save it. Click Save.
Multiple messages together in one file:
1. Open your Mailbox or a
folder containing messages you want to save. Sort the messages in the reverse of
the order you would like them to appear in the saved file.
2. Select several
messages. Remember that selection of a closed thread includes ALL messages in
that thread.
3. From the Message menu choose Summarize
Selected. A new file will open with the summarized messages. (Because most
people sort their e-mail so that the most recent is at the top of the list, the
Summarize Selected command puts them in the reverse order. This way your file
will be chronological - oldest first.)
Note: Although this file can be quite large, there is a limit. If you
follow this procedure and your resulting file consists only of headers or looks
corrupted, try selecting fewer messages before summarizing.
4. From the File menu choose Save
As.
5. In the Save As window, enter a name
for this file with a .txt extension, then navigate to the location where you
would like to save it. Click Save.
Saving messages as individual files in rich text format.
The following procedure results in one or more .rtf files, each
with the text and header of an individual mail message. Formatting is retained
and quoted text is labeled with the name of the author.
1. Open your Mailbox or a
folder containing messages you want to save.
2. Select several
messages or a single message. Remember that selection of a closed thread
includes ALL messages in that thread.
3. From the File menu choose Export then navigate to the
location where you would like to save the files. The files will be named as the
subjects of the original messages.

Account Quotas
Disk Usage Quota:
Every FirstClass user has a quota on the amount if disk space
he/she is allowed on the server. If you have reached your quota you may find
that you are not able to send messages, change your preferences or edit your
resume. Most people who reach this quota find that messages with large
attachments are the problem. You can download the attachment to your computer
if you need to save it, then delete the message. As soon as you delete a
message or file, disk space will be freed in your account.
Received Message Quota:
There is a limit if 1,792 received messages that you can store in your mailbox. This limit does not include copies of messages that you have sent (in other words, the messages in your mailbox that say "To" in front of them.) A statement just below the toolbar on your Mailbox window tells you how many files it contains but this total includes the sent mail as well. If you are not able to receive mail, your mailbox may be full. You can either delete messages or move them to folders.
Settings and Customizing
You can customize some aspects of your FirstClass account to make
it more convenient for you to use. Most of these settings are account-specific
so that they will apply to your FirstClass account at any computer you use.
There are two menus that allow you to customize various FirstClass features - Preferences (in the Edit menu), and the View menu. Each menu has
many options that appear on tabs and sub-menus. The list immediately below will
link you to the particular instructions you need.
